How a project works

No discovery phase that quietly becomes the project. Every stage has a defined end and a written output.
1 · A conversation about the workflow
Fifteen minutes, free. Describe the manual thing you're tired of doing; we tell you whether it's a fit, whether software you already pay for solves it, or whether it isn't worth automating. If the gap is your team rather than your systems, that's AI training for teams, not a build.
2 · An audit, if the picture is bigger than one workflow
The Automation Audit is $1,500 flat: a half-day on site and a written deliverable inventorying your five most time-expensive repeated workflows — what's automatable with tools you already pay for, what needs glue built, what to leave alone. The fee credits 100% toward a build started within 60 days.
3 · A written scope and a fixed quote
Before anything gets built: what it does, what it explicitly does not do, which systems it touches, and a named acceptance test you sign off against. If your process isn't documented, we scope the documentation as a billed pre-step or quote with the risk priced in and say so.
4 · Build, test, hand off
Integration testing across every connected system, a security review of the automation code, and change orders in writing at a stated rate if the scope moves. One rule we eat rather than you: if a build passes 1.5x the estimated hours, it ships as-is or you get refunded.
5 · Keep it running, or don't
Automation Care is $250–$750 a month by workflow count — monitoring that the automation still runs, that credentials haven't expired, and that a vendor hasn't quietly changed its API. Breakage response is billed separately at $125/hr, so a quiet month costs a quiet month's price. Optional; plenty of builds are handed off and left alone.

How much does an automation or integration project cost?
Fixed-fee builds start at $2,500 for a single workflow on connectors that already exist, and $6,000 for a multi-step workflow across two or three systems with one AI step in the chain. An Automation Audit, if you need help picking the right first workflow, is $1,500 flat and credits 100% toward a build started within 60 days. Ongoing monitoring under Automation Care is $250–$750 a month by workflow count, with breakage response billed at $125/hr. We don't sell this by the hour and we don't bill on token or usage consumption. Custom integration work where no connector exists is quoted in writing after a paid discovery.
What's the difference between an integration and custom software?
An integration connects systems that already exist, using the connectors and APIs those vendors publish. It has a definable end, a testable result, and a price we can commit to in writing. Custom software is a product built from nothing, which means an open-ended roadmap, a maintenance obligation with no end date, and a team that has to keep existing to support it. We build the first kind. When you genuinely need the second, we'll say so instead of taking the deposit.
Do you build mobile apps or software we can sell?
No. No consumer apps, no app-store products, nothing built for resale. What we build is internal — automations, integrations, dashboards, and small tools your own staff use. If a vendor tells you those are the same kind of project, they're quoting you a different job than the one they'll deliver.
Will you build on a third-party automation platform?
Sometimes, when it's the faster and cheaper path — and when we do, you find out in writing before we start: which platform, where your data travels, and what happens to the automation if that vendor changes its terms or you decide to leave. That's often the right call. It isn't a call we'll make silently on a dental or tax client's behalf.
What if our process isn't written down anywhere?
Then that's the first piece of work, and it's the most common reason automation projects stall. Automating a workflow means encoding the decisions inside it, and decisions that only live in one person's head can't be encoded yet. There are two paths: scope the documentation as a separate, billed pre-step, or quote the build with the estimate flagged as carrying overrun risk. We won't quote a fixed fee against an undocumented process and find out on your time.
Who owns what you build?
You do. The build comes with a written scope, an explicit out-of-scope list, and a named acceptance test, so what you bought is on paper before it's built. Audit findings are itemized and yours to keep whether you hire us for the build or not, and you're free to take the roadmap to another vendor, including a cheaper one. We'd rather say that out loud than have you wonder about it.
Do we have to be a managed IT client?
No. Automation and integration work is quoted and delivered as standalone project work, the same way a cabling run or a camera system is. If you are on a managed plan, none of this touches that rate — it's still $125/workstation/mo and $275/server/mo.
Can we see something you've built?
Yes, and it's our own. Client automations sit inside client systems and aren't ours to publish, so instead of anonymized case studies you can't verify, we show you the software this company runs itself on — client onboarding, monthly billing, review requests, website monitoring — with the status of each one stated plainly, including the ones that haven't gone live yet.
