Tax & Accounting Firms

IT That Doesn't Go Down

on April 14th.

Managed IT for CPA and tax firms across The Woodlands, Spring, Conroe, Kingwood, Tomball, and Magnolia — $125 per workstation, flat, with everything included.

Based in North Houston — Serving Businesses Across Texas

Built for filing season

Filing season doesn't pause for a server reboot.

Tax and accounting firms carry risks a general-purpose "IT guy" never prices in. Here's what we actually cover — every one of these is inside the flat rate.

Your software can't stall in March and April

Drake, Lacerte, UltraTax, and QuickBooks in multi-user mode are unforgiving when the network, the database host, or a single workstation hangs mid-return. We monitor and patch the whole chain — and schedule the disruptive maintenance for May, not the middle of February.

WISP and FTC Safeguards icon

The WISP you attested to on Form W-12

Every PTIN holder attests on Form W-12 that a written data security plan exists. The FTC Safeguards Rule and IRS Publication 4557 spell out the controls — MFA, encryption, access control, logging, an incident plan. We implement them and hand you the written evidence for your file.

Cost of a lost filing day icon

Run the math on a lost filing day

A four-preparer firm losing a day at the height of season can be out $4,000–$10,000 in billable work — before you count the client who walks. One tested backup and a same-day response turn that into a bad afternoon instead of a bad week.

You hold SSNs, EINs, and years of returns

Every client file is a full identity kit — SSNs, EINs, prior-year returns, bank details. A breach is a reportable event with real liability. Endpoint detection on every machine, encrypted backups, a business-class firewall, and MFA everywhere keep that data yours.

Gemini AI icon

AI at the firm — inside the WISP, not around it

During season, Gemini summarizes client documents and drafts engagement letters right in Gmail and Docs — configured so client financials stay inside your tenant. And because the IRS expects your WISP to cover AI use, we write the AI-usage policy into it. See the WISP guide.

Included

Firewall and network are fully managed — but hardware is never included. We recommend the right gear and send the links; you buy it at our cost, zero markup. Backup and after-hours support are subject to fair use; unusually large datasets add storage billed at cost.

The cheaper quote isn't cheaper.

A typical Houston walk-up rate looks lower because it leaves out the things a tax firm actually needs. Add them back and the gap closes fast — before anyone touches the after-hours meter.

The walk-up rate you're quoted
Base managed-IT rate, per user
$100–125/user
Once it actually covers you
Add real EDR, backup, firewall & onboarding
$132–175/user
And after 5pm in filing season
Every after-hours call, billed on top
$150–500/hr

Our number is $125/workstation — after-hours included, locked for your term. See the full walk-up-quote math →

Common questions

What does managed IT cost for a tax firm?

$125 per workstation per month, with everything on this page included. Servers are $275/month. Software licenses and any hardware are billed at our cost with zero markup. Three-workstation minimum, twelve-month initial term. Project work — migrations, office moves, buildouts — is quoted separately in writing, never slipped into the monthly.

What happens when something breaks at 9pm on April 14th?

You call, we answer, and no timer starts. Unlimited support includes after-hours, nights, and weekends under fair use — support consistent with what it normally takes to run a firm your size. The same-day response SLA applies to every ticket, in season or out. Project work is still project work.

Can we switch mid-year — or mid-season?

Yes. We plan the cutover around your calendar and won't touch a live Drake or Lacerte database during a deadline crunch. On-site onboarding, documentation, and a security cleanup happen in the first weeks; nothing that puts a return at risk moves during peak.

Do you handle the WISP and FTC Safeguards Rule?

We build and document the safeguards. The FTC Safeguards Rule and IRS Pub 4557 define the controls behind your Form W-12 attestation — MFA, encryption, access control, logging, an incident-response plan — and we implement them and hand you the written evidence for your file. The attestation itself is yours to sign; we make sure there's a real plan behind it. (This is IT implementation, not legal advice.)
